Job Title                                 : Finance S&T Administrator

Reporting Line                      : Manager: Finance

 

Overall Job Purpose            : To  provide administrative support and processing of travel and subsistence claims in line with relevant policies and procedures.

 

 

KEY RESPONSIBILITIES

 

Subsistence and Travel advances:

  • Process Subsistence and Travel advances.
  • Process foreign and local Subsistence and Travel claims.
  • Prepare EFT documents for payments of advances and claims.
  • Prepare and capture journal entries.
  • Capture time cards on project job costing.
  • Reconciliation of advance accounts.
  • Process applications for insurance on foreign trips.
  • Liaison with staff in respect to Subsistence and Travel.
  • Resolve Subsistence and Travel queries.

 

Reporting:

  • Ensure accurate, relevant, reliable, and timeous provision of financial information to internal decision-making for reporting purposes.

 

Financial Policies and Procedures:

  • Ensure compliance with CGS financial policies and procedures, PFMA, Treasury regulations, GAAP, IFRS.

 

 

Queries:

  • Ensure that queries are resolved within finance unit and report to operations and other support functions,
  • Assist the internal and external Auditors with queries of the Creditors department.

 

Adhoc duties:

  • Performance of reasonable ad hoc duties at the request of CGS or supervisor which are within the scope of employment and entails work within abilities.

EDUCATIONAL QUALIFICATIONS

 

  • Diploma in Accounting or relevant,
  • Must have 2-3 years’ experience in similar environment.

 

KNOWLEDGE AND EXPERIENCE

 

  • Computer literate.
  • Proficient with AccPac or equivalent financial system.
  • Must have Excel at mastery level.
  • Good knowledge of MS Word.
  • Ensure Stake Holder Centred Performance.
  • Ensure Execution and Achieve Results.
  • Ensure Improvement.
  • Good communication Skills.
  • Sound financial administrative skills.
  • Understanding of PFMA, Treasury regulations and CGS policies.
