Reporting Line : Manager: Assets Management
Overall Job Purpose : To render effective and efficient asset administration support in to assist in the implementation of effective control and administration of assets, check and verify the accuracy of the data recorded/updated on the asset, track and monitor the physical movement of assets and facilitate the proper disposal of assets for the Council for Geoscience.
KEY RESPONSIBILITIES
- Conduct daily, weekly and monthly asset checking, monitoring and verification on CGS assets as per the asset location register and the agreed verification plan.
- Verify and confirm allocated barcode per movable asset as per the asset location register.
- Perform daily, weekly and monthly spot checks on asset on the floor vs asset register.
- Regular updating the Asset register of any movements and disposals.
- Barcoding of assets.
- Co-ordinate the physical movement of assets (including the tracking, tracing and locating).
- Updating of asset Inventory lists.
- Update of the assets earmarked for disposal and the Disposal database.
- Updating of Loss registers on a regular basis.
- Perform asset verification as and when required.
- Render asset management support service to the business units.
- Perform all asset inspection duties related to the movable CGS assets.
- Conduct routine asset inspections outputs within given parameters.
- Record, store and retrieve information related to the asset inspections and asset utilisation.
- Responsible for performing location checking of the asset against the location asset register.
- Prepare and compile relevant/applicable asset inspection documents as and when required.
- Co-ordinate the submission of asset insurance claims to the insurance broker.
- Responsible for checking that an asset transfer form has been completed.
- Responsible for the administration, physical movement of an asset as per the signed/approved asset transfer form.
- Monitoring and tracking of the physical movements of assets
- Adhere to Health and Safety measures applicable to the different locations in the CGS. Ensure a filing system that is easily accessible and effective for ease of tracking and retrieval of documents.
- Prepare and compile asset condition/status report.
- Identify and record damaged and impaired assets as per the reporting procedure, escalate/report damages /impairment identified on the asset
- Perform filing of all asset verification documents,
- Ensure that controls supporting Asset administration processes are adhered to at all times.
- Maintain an audit trail tracking the Asset administration processes.
- Assist the internal and external Auditors with queries of the Asset management processes.
- Communicate with user departments regarding utilisation of assets.
- Assist with capturing additions and reconciliation of assets and the general ledger.
- Capture asset deliveries on the system and maintain barcode register.
PEOPLE MANAGEMENT (LEARNING AND DEVELOPMENT)
- Compile and submit own Personal Development Plan.
- Participate in relevant training courses, workshops, etc.

EDUCATIONAL QUALIFICATIONS
- Matric (Grade 12) and;
- Three (3) year National Diploma (NQF Level 6) in Finance, Accounting, Logistics or Supply Chain Management or equivalent qualification.
KNOWLEDGE AND EXPERIENCE
- 3 - 5 years’ working experience in an Asset related environment.
- Must be proficient in MS Office.
